The Coronavirus and your Practice


Covid-19 is coming. Since breaking out despite China’s monumental efforts at containment, the pattern of spread has put the writing squarely on the walls of dispensaries, lanes, and waiting rooms: it’s now a matter of when and not if.

The good news is that if you’re healthy there’s a good chance you won’t be very ill. While there is no shortage of coverage of this disease throughout the media, we wanted to tie it into what we know best—optometry marketing—and offer some tips on best preparing for and handling the inevitable challenges this virus is likely to pose to you and your practice.

Patient Messaging: If you’re sick, stay home!

Obviously, you want to be able to keep your patients in-the-know quickly and effectively. One basic message you want to effectively communicate is that under no circumstances should patients show up if they’re sick. Blast this out by email, text, and announce it on your website. If your general policy is to charge for no-shows, you might want to consider exempting this for sudden illness.

Be Prepared for Staff Illness and Cancelations

Some of you will get sick, and quarantines are usually pretty terrible for business in general. The above advice about staying home applies to doctors and staff too. Make it clear to staff that they risk infecting many patients as well as coworkers if they show up so play it safe. This means preparing for the eventuality of having delays and even canceling appointments due to doctor and staff shortages. You can’t do much about that except maintain excellent communication with patients. We recommend preparing a communication strategy ahead of time with your digital marketing/website agency. If you don’t have one, you might want to consider it now.

Precautionary Measures Matter

Keep your staff and patients safe while reassuring everyone that you are doing what you can to make sure everyone stays healthy.

  1. Put a hand sanitizing station in the lobby with a sign inviting all visitors to keep everyone safe. 
  2. Have a hand sanitizing station between exam lanes for the doctor and the patient to use.  Make it a very visible step. Patients will appreciate the good practices. (Send EyeCarePro a picture.)
  3. Have cleaning wipes in the exam station AND at the optician's station.  Use them! Nobody wants to try on eyeglasses that have been on someone else's face and hands.  
  4. Nightly wipe down.  Don't skip this step. 
  5. Surgical masks are not effective. The thicker N95s are, but at this point, the CDC is not recommending these for public use.

Supply & Demand

As stocks plummet and outbreak spreads, the economy is going to suffer, with a breakdown in the global supply chain and a potential recession. In the short-term, be prepared for supply problems of basically everything; frames, supplements, you name it!

And with a long term slowdown, be prepared for a drop in capture and revenue per patient.
